Planning an event can be very taxing and demanding. This article will open your eyes to five C’s of event management. They are great starting points for putting an event together as well as managing it.
Event management includes the process of conceiving events, planning, creating and accessing events. It requires detailed planning and organization. You need to have well thought of tasks and plans. In other words, event management is the coordination, planning, organizing and executing of an event’s tasks and objectives.
The five C’s of event management listed are Concept, Coordination, Control, Culmination, and Closeout. These five terminologies are essential for every event manager.
Concept
The concept of an event navigates through various highlights. These highlights are such as the reason for the event. This states what an event aims at achieving. It also includes when the event will take place and where it is taking place. It includes what is happening at the event. All these are essential to be identified before the start of the event. They must all synergize.
Coordination
The event coordination has to do with the general planning of events. In other words, it is the planning phase of events and cannot be waved aside. It involves the process of developing a theme for the event. It also involves planning a budget, choosing and reserving venues for the event. Furthermore, it involves making food available at the event. It also involves planning for equipment and facilities that will be used at the event. There is a need to pay keen attention to every detail of an event.
Control
For every event, control measures need to be put in place. This is moving over to the plans laid down for the event and analyzing them. Event control has to do with being able to handle conflict resolutions in supplier and vendor relationship management.
Culmination
This is the point where all the plans come into activation or reality. This shows the result of all the previous planning and this includes team management. It also includes coordinating supplier and vendor as well as controlling the crowd. Furthermore, it includes ensuring security is uptight, food is on point and communication with all the teams. These are the things that will determine if your event is going to be memorable for your guests or not. At this stage, you would already know if your event is successful or not.
Closeout
After the event is over and successful, there is the need for some post event activities. These activities include reviews and evaluations. It also include keeping records or reports and improvement in quality. It also involves rewarding and recognizing all the members of the teams that worked with you. This also includes terminating contracts with vendors and contractors at the end of the event wherever it is applicable.
Conclusion
As much as we already know about the five C’s of event management, we can only bring events to life by understanding the concept very well. Your project manager needs to be sure that you have experiential knowledge and have thought well about plans and tasks.
